We aim to collect only what we need to operate our Services responsibly. Depending on how you interact with us, this may include:
- Contact details you provide directly — such as your name, work email address, property or organisation name, and the content of messages you send us.
- Account and service data — information generated when authorised users access the HGMS property dashboard, such as account settings, preferences, and activity records.
- Communication data — records of emails and messages we exchange with you, including delivery status, opens, and unsubscribe requests, so that we can manage our communications responsibly.
- Technical data — basic information your browser provides automatically, such as device type, general location, and pages viewed, used to keep the Services secure and functional.

- Authenticate users and secure access to the property dashboard;

For example, when an authorised user accesses the HGMS property dashboard, we may send verification and account-related emails. Because they relate directly to use of the Services, these messages are sent as part of the Service itself.
Product communications
We only send product or promotional email to recipients who have explicitly opted in — for example, a hospitality partner who asks to hear from us. We do not purchase, rent, or use third-party contact lists, and we do not send unsolicited bulk email.
Unsubscribing

Responsible sending
We authenticate our outbound email using SPF, DKIM, and DMARC, and we actively monitor bounces and complaints so that we can maintain a healthy sender reputation and stop contacting addresses that should no longer receive mail.
